For Vista by Viewpoint · Trimble Construction One

Find what your supplier’s statement and your Vista AP ledger disagree on — before the payment run

Forward the supplier statement you received. Your Statements dashboard shows what agrees with Vista, what needs review, and whether the stated closing balance could be proven. Statement Zen does not connect to your ERP, and there is no software to install.

Long supplier statements can hide a short list of exceptions. Statement Zen groups those exceptions with the references, dates and amounts you need to review them.

Build your Vista query

The query builder below is free to try, no account needed. A free account and sign-in are required to connect the query to Statement Zen and reconcile statements. See pricing.

How the closing balance is checked

Review the arithmetic check, the results reported by two AP teams, and the product on the free tier.

The balance is proven before it is reported

Opening balance plus every signed movement is checked against the closing balance. If it does not close, the statement comes back as unproven rather than as a number you are expected to take on trust.

What it cannot tie out, it names

A line that cannot be matched with confidence is reported with its reference, date and amount instead of being folded into a difference total. The only work left is the work that genuinely needs a person.

Two AP teams, on their own count

Two accounts payable teams using earlier versions of Statement Zen went from 80–100 hours a month to under four. That is their figure rather than a measurement of ours, and it came from earlier versions of the product.

Check it on your own books, free

25 reconciled statements every month, no card. A statement that cannot be reconciled does not use that allowance, so trying it costs you nothing.

Reads your accounts payable position from Xero, QuickBooks Online and Vista by Viewpoint — and from anything else through the Statement Zen API.

Statement Zen does one job: the supplier statement reconciliation that lands on an accounts payable desk every month, right before the payment run. It was built for that job and it does not try to be an accounts payable suite.

Set up Vista once, then forward statements

The Vista side is a one-time job. The full setup is further down this page, screen by screen, and the walkthrough video above shows all of it on a real supplier statement.

01Let Vista send its own AP position

Paste the generated query into Vista’s Workflow Notifier and set a schedule. Vista then emails Statement Zen your AP position. Statement Zen does not connect to your ERP, and there is no software to install.

02Forward the supplier’s statement

Forward it to your unique Statement Zen address in the format you received it: native or scanned PDF, CSV or spreadsheet. There is no upload screen and no need to re-key it.

03Read what disagrees

Your Statements dashboard groups differences in both directions, shows unresolved lines with their reference, date and amount, and reports the closing balance as proven or not.

What Statement Zen does for Vista AP teams

Vendor statement reconciliation for Viewpoint Vista and Trimble Construction One, with the balance check and exception details an AP team needs for review.

Checks the stated closing balance

Opening balance + every signed movement is checked against the Closing balance. When the equation closes, the result is reported as proven. When it does not, the statement is reported as unproven.

Flags unresolved statements

Statement Zen does not force an unresolved statement into a completed result. It marks the statement for review and keeps the available line details with it.

Pricing by monthly statement allowance

Your first 25 reconciled statements each month are free. Paid plans include 100 statements for $99, 300 for $299 or 1,000 for $899. A statement Statement Zen cannot reconcile does not use the allowance.

No connection to Vista

There is no connection to Vista by Viewpoint or Trimble Construction One. Vista’s own Workflow Notifier sends your AP position in an outbound email. Statement Zen does not log in, never reads your database directly, and cannot change data in your system.

Unresolved layouts can be reviewed

When a statement layout cannot be reconciled, the result identifies that it needs review rather than forcing a match. Future support for that layout is not promised until it has been verified.

Copy the exception list

Each unmatched line includes its reference, date and amount. One button copies the complete list so you can paste it into a supplier reply.

No supplier sign-up

Statement Zen does not send messages to your vendors. There is no supplier portal or registration email, so suppliers can keep sending statements to you as they do now.

One-time Workflow Notifier setup

The Vista setup requires access to Workflow Query Manager and Job Manager. Paste the generated query, enter your Statement Zen address and choose a schedule. There is no Statement Zen software or API integration to install in Vista.

The full setup

Follow these steps once. One query covers all the Vista companies you list, and each company gets its own forwarding address. If you add a Vista company later, generate the query again with every company number and replace the old one in Vista.

1. Build your Workflow Notifier query

Enter your company number or numbers to generate the query and see which Vista fields to paste it into. The generator runs in your browser and does not send those numbers anywhere.

  1. 1Tell us your companies
  2. 2Set it up in Vista

Enter every Vista company number you run AP in, separated by commas, for example 1, 1,2 or 1,4,7. One query covers all the companies you list.

Why do we ask for this?

Vista often holds several companies — including test or dummy companies, and entities you don’t reconcile supplier statements for. The query you paste decides which companies’ AP position gets sent to Statement Zen. By entering only the companies you actually reconcile, you keep test data and irrelevant entities out, and send exactly what matters — nothing more.

Your personalised Vista setup will appear here

Enter your company number above and we’ll generate the exact screens to copy into Vista.

2. Complete the Vista setup

Step 1

Sign up & log in

Create a free Statement Zen account with no card required, then log in. The Connect Vista wizard in your dashboard provides the query setup and your unique forwarding address.

Create your free account →
Step 2

Generate your query

Enter the Vista company number or numbers you use for accounts payable. Copy the generated Select box and From / Where box for those companies.

Step 3

Create the Notifier Query

In Vista, open WF Notifier Queries and add a query. Paste the ① Select box into the Select field and the ② From / Where box into the From / Where Clause field. Save the query with its single [Feed] output column.

Step 4

Set up the email (Job Manager → Email tab)

Create a WF Notifier Job for the query. On the Email tab, set To to your unique Statement Zen address. If you listed several companies, use the address of any one of them. If you do not have an address yet, create a free account and select Connect Vista under Home → Connections. Choose Plain Text and set Header to the [Feed] token so the AP feed becomes the email body. Leave the Subject blank; the unique address links the feed to your account. Teammates you invite through the dashboard can use the same forwarding address.

Create your free account →
Step 5

Set the schedule (Job Manager → Info tab)

On the scheduling tab, set Query Type = WF Notifier Query. Choose the frequency, start time and start date, then save. One job sends the feed for every company in the query.

Step 6

Forward your statements

When a supplier emails you a statement, forward it to the unique Statement Zen address of the company it is addressed to. Statement Zen compares it with the AP position sent by your notifier and posts the result to your Statements dashboard.

Step 7

No Statement Zen connection to Vista

The notifier reads your AP position — open items plus invoices paid in the last 90 days, so a payment that crossed in the post is not reported back to you as a missing invoice — and emails it out. Statement Zen does not log in or write back, so it cannot change data in Vista or Trimble Construction One.

3. What you’ll see once you’re signed in

After you log in, select Connect Vista from Home → Connections. The wizard has three steps — Company numbers, Notifier setup, Confirm — and the final step gives you your unique forwarding address. The Vista-side setup above is still completed in Vista.

Frequently asked questions

Short answers about reconciling Vista supplier statements, with the limits stated.

Does Statement Zen connect to, read from, or change my Vista data?
No. Statement Zen does not connect to Vista by Viewpoint or Trimble Construction One. Vista's own Workflow Notifier sends your AP position in an outbound email on a schedule you control. Statement Zen receives that email and the supplier statement you forward. It does not log in to Vista, read your database directly, or write, modify or delete anything in your ERP.
Which Vista versions does Statement Zen support — Vista, Vista by Viewpoint, or Trimble Construction One?
Trimble acquired Viewpoint in 2018, and Vista is now part of the Trimble Construction One suite. Statement Zen supports legacy Vista, Vista by Viewpoint and Vista within Trimble Construction One. The Workflow Notifier SQL query generated on this page is compatible with each of those versions.
How does the Vista Workflow Notifier work with Statement Zen?
You paste a SQL query into Vista’s Workflow Notifier (Workflow Query Manager + Job Manager). The query reads your AP position — posted invoices, invoices paid in the last 90 days, unapproved invoices and batch-stage items — and emails a pipe-delimited feed to Statement Zen on a schedule you choose. One query covers all the Vista companies you list. When you connect Vista under Home → Connections → Connect Vista, each company gets its own forwarding address. Send the feed to any one of those addresses, and forward each company’s supplier statements to that company’s address. Statement Zen uses the feed to match incoming supplier statements.
How do I reconcile a supplier statement in Vista by Viewpoint?
Set up the Workflow Notifier using the query generator on this page. When a supplier sends a statement, forward it to the unique Statement Zen address of the company the statement is addressed to. Each company has its own address, and the notifier can send its feed to any one of them. Statement Zen checks Opening balance + Σ(signed movements) = Closing balance, matches the statement against your Vista AP ledger, and posts the reconciliation report to your Statements dashboard. There is no upload screen or statement data entry.
What does it cost to reconcile vendor statements in Trimble Construction One with Statement Zen?
The first 25 reconciled statements every month are free. Paid plans are $99/month for 100 statements (Starter), $299/month for 300 statements (Pro), and $899/month for 1,000 statements (Business). A statement Statement Zen cannot reconcile is flagged for review and does not use that allowance.
What happens when a supplier statement doesn't reconcile?
Statement Zen flags the statement for review rather than forcing a result. The report identifies an unmatched line or amount difference with the available reference, date and amount. The statement does not use your monthly allowance.
How is Statement Zen different from the other supplier statement reconciliation tools?
Check the product behavior against your requirements. A closing balance is reported as proven only when Opening balance + Σ(signed movements) = Closing balance holds. A line that cannot be tied out is shown with its reference, date and amount. A statement Statement Zen cannot reconcile does not use your monthly allowance.
Do I need IT support or an ERP integration to set up Statement Zen for Vista?
Statement Zen does not require an ERP integration or software installation for Vista. Someone with access to Vista’s Workflow Query Manager and Job Manager must paste the generated SQL query, enter the Statement Zen address and set the schedule. Your own access controls determine who can complete those steps.
How long until I see my first reconciled statement?
First complete the one-time Workflow Notifier setup. After that, forwarded statements are processed and posted to your Statements dashboard. Processing time depends on the statement, including its length and whether it is a scanned PDF.
How do I tell the supplier which invoices are missing?
The reconciliation lists each exception with its reference, date and amount. One button copies the full list so you can paste it into your reply. Statement Zen does not send the supplier email for you; you choose the wording and timing.
Do my suppliers have to sign up for anything, or change how they send statements?
No. There is no supplier portal or supplier registration. Statement Zen does not contact vendors or send messages on your behalf. Your suppliers can keep emailing statements to you as they do now.

Running something else?

Xero, QuickBooks Online and Vista connect themselves. Any other accounting system or ERP can send its whole position, paid and unpaid, through the Statement Zen API, or by an arrangement we set up with you — the supplier statement still just gets forwarded by email. Tell us what you use and we will tell you straight whether we can reconcile against it.
