What to send
A supplier transaction report, not just open payables (the list of what you owe today). A supplier transaction report is your system's history of every bill, credit note and payment for each supplier, with dates, references and amounts. It should cover at least the last three months and include both paid and unpaid items. Send it as a CSV, Excel or PDF file.
Look for a supplier transaction or vendor ledger report (the names vary between systems and versions). A report like that should usually work.
Why a few months, and paid items too
A supplier statement shows what the supplier thinks you owed on one date. If we only see what is unpaid today, an invoice you paid last week looks like a mistake, and anything near the statement date can't be placed on the right side of it. A few months of history lets us tell a real difference from a timing difference.
How it works
You email the file to us at info@statementzen.com. There is no upload page. Send us a sample and we'll set up reading your report ourselves, which is much quicker than waiting for a full integration. Once we have a usable sample, we usually need a few days and aim to have it working for you within about a week.
About SAP S/4HANA (Private Cloud and On-Premise)
What it is
SAP S/4HANA in its Private Cloud edition, sold through RISE with SAP, or installed on-premise, is SAP's ERP for large organisations, run for one company at a time. It is separate from S/4HANA Cloud Public Edition, SAP ECC and SAP Business One.
Who uses it
Mostly large enterprises with thousands of staff, often in manufacturing and retail. SAP sells it in Australia and New Zealand, the UK and Ireland and the US and Canada.
What we would read from it
Your supplier invoices and supplier line items, open and cleared, through SAP's standard APIs. Your IT team would need to make the system reachable and create a read-only user; where that is not possible, a vendor line item report you export. We would match those lines against the supplier statements you forward to us.
